Deep AI Solutions Inc respects the privacy of the Operators we serve and the visitors who land on deepaisolutions.com, deephvac.io, deeproofing.app, deepvision.care, deepai.legal, and our other sites (together, the “Sites”). This policy describes what we collect, how we use it, who we share it with, and the rights you have. It applies across every Deep AI Solutions service (DeepHvac, DeepRoofing, DeepVision, DeepLegal, and our core platform).
In short:we collect what you give us through forms and what your browser sends automatically; we use it to run your AI-visibility scans and reports and to operate our business; we don’t sell your personal information; and you can ask us to access, correct, or delete it at any time by emailing [email protected]. The details are below.
1. Information we collect
Information you give us
- Lead and audit form data. When you submit a form on a Site — the AI Visibility Scanner, an audit request, a contact form, or an engagement inquiry — we collect the fields you fill in, typically your name, business name, city, vertical, email address, phone number, and any free-text message.
- Account and billing data. If you create an account or subscribe to a Service, we collect your business details and, through our payment processor, the billing information needed to process payment (we do not store full card numbers ourselves — see Section 3).
- Correspondence. Email or other communications you send us in the course of evaluating or using a Service.
Information collected automatically
- Server logs. Our hosting provider (Vercel) logs request metadata, including IP address, user agent, timestamp, and URL path, retained on a rolling 60-day window for security and operational purposes.
- Cookies. Our Sites use essential cookies required for navigation, security, and checkout. We do not run third-party advertising or tracking cookies. If we add optional analytics in the future, we will request consent before placing those cookies and will update this section with the categories, purpose, and retention period of each.
Information generated through the Services
When you run an AI Visibility Scan, your business name, city, and vertical are sent as part of prompts to the AI providers listed in Section 3. The full text of those providers’ responses — including any business or personal information a model surfaces about your business — is stored alongside the scan so your Mention Monitor and historical scans can render.
2. How we use information
- To deliver the Services you request — running scans, generating entity packs, operating the Mention Monitor, and administering Geographic Exclusivity Zones.
- To process payment and manage your subscription.
- To respond to inquiries and provide support.
- To send transactional communications about your scans, subscription, or account, including the SMS program described in our Terms of Service.
- To improve the Services, including model evaluation, prompt-bank tuning, and reliability work.
- To produce aggregated, de-identified research and benchmarks.
- To detect, prevent, and respond to fraud, abuse, and security incidents.
- To comply with legal obligations.
We do not sell or rent personal information.We do not use your information to train our own general-purpose machine-learning models or to train third-party providers’ foundation models, beyond the per-query inference calls necessary to deliver the Services to you.
3. Sub-processors
We rely on the following third-party providers to operate the Services. Each is contractually bound to handle data only as we instruct and consistent with this policy.

4. Data retention
Lead form data, scans, mention events, and entity profiles are retained for the life of your engagement and for up to twelve months after termination, after which they are deleted or de-identified. Billing records are retained as required by tax and accounting law. Server logs are retained for sixty days. Aggregated, de-identified data may be retained indefinitely for research and benchmarking.
5. Security
We use commercially reasonable physical, technical, and organizational safeguards to protect information against unauthorized access, alteration, disclosure, and destruction. No system is perfectly secure. If you believe your information has been compromised, contact us immediately at [email protected].
6. Your rights
Depending on your jurisdiction, you may have the right to access, correct, delete, restrict, or port your personal information, and to object to certain processing, including profiling in furtherance of decisions producing legal or similarly significant effects. To exercise any of these rights, email [email protected]with the subject line “Privacy Request.” We will verify your request and respond within the timeframe required by applicable law (see Sections 7–8 for jurisdiction-specific timeframes).
7. California residents (CCPA/CPRA)
If you are a California resident — including an individual acting on behalf of a business we work with — you have the right to know what personal information we collect, the right to request deletion or correction, and the right to opt out of any “sale” or “sharing” of personal information as those terms are defined under California law. We do not sell or share personal information as defined under the CCPA/CPRA. We will respond to a verifiable consumer request within 45 days (extendable once by an additional 45 days with notice to you). See our Do Not Sell or Share notice for details.
8. Texas residents (Texas Data Privacy and Security Act)
Deep AI Solutions is headquartered in Texas and most of the businesses we serve operate in Texas. Under the Texas Data Privacy and Security Act (TDPSA), if you are a Texas resident you have the right to confirm whether we process your personal data, to access and correct it, to request deletion, to obtain a portable copy, and to opt out of processing for targeted advertising, the sale of personal data, or profiling in furtherance of decisions that produce legal or similarly significant effects. We do not sell personal data or use it for targeted advertising. You may exercise these rights by emailing [email protected]; if we decline a request, you may appeal by replying to our decision, and we will respond to an appeal within 60 days.
9. EU, UK, and Swiss residents (GDPR/UK GDPR)
For visitors in the European Economic Area, United Kingdom, or Switzerland, the legal basis for processing your data is one of the following: your consent, the performance of a contract with you, our legitimate interests in operating and improving the Services, or compliance with a legal obligation. Where consent is the basis, you may withdraw it at any time. You have the right to lodge a complaint with your local supervisory authority. We do not actively market the Services to residents of these regions; if you access a Site from one, be aware your information will be transferred to and processed in the United States.
10. Automated scoring and profiling
Our Services generate AI-visibility scores, entity profiles, and citation reports about your business using automated analysis of AI-provider outputs (Section 1). These scores and reports describe your business’s public presence — they do not evaluate you as an individual for credit, employment, insurance, housing, or any similarly significant decision about a natural person. Section 7 of our Terms of Service describes the reliability limits of these outputs.
11. Children
The Services are intended for business users and are not directed to anyone under 18. We do not knowingly collect personal information from anyone under 18. If you believe a child has provided us with personal information, contact us at [email protected] and we will delete it.
12. Changes to this policy
We may update this policy from time to time. Material changes will be reflected by updating the “Last updated” date above and, where reasonable, by direct notice.
